Shipping Settings

Shipping Settings

Important: Users with Admin rights find the shipping settings in the Partner Portal under Settings > Shipping settings. Which fields are visible or editable depends on the respective configuration. Changes do not become active immediately, but are applied after approximately one hour.

What is controlled by the shipping settings

With the shipping settings, you define until when orders can be processed and under which shipping conditions your offers are active. In the Partner Portal, this information is displayed in a structured way and can be edited directly. This mainly affects the following areas:

  • Order cut-off, order days and order times: By when orders must be received so they can still be processed on the same business day, and on which days or at which times orders are transmitted.

  • Delivery time: How many working days are required from order receipt to delivery to Digitec Galaxus.

  • Shipping routes: Which warehouses, shipping route IDs, shipping methods and notification rules apply to your offers.

If the configuration does not match your actual shipping processes, this can directly affect delivery times, offer activation and customer expectations. Therefore, review changes carefully before saving them.

Order cut-off and order times

The order cut-off time defines the latest time by which your order must be received so that it can still be processed on the same business day. In addition, depending on the respective configuration, you can view or edit order days, order times and other relevant cut-off times in the Partner Portal.

Warehouse delivery

For warehouse delivery, your incoming orders are collected until the defined order cut-off and then transmitted in bundled form. This allows your shipments to be processed efficiently and the promised delivery times to be met.

You can also set up additional order times. This is useful if you want to receive known items earlier while still collecting orders until the actual main deadline.

Practical benefit: Additional order times help trigger internal processes earlier without losing the actual order collection logic.

Direct delivery

You can also define an order cut-off for direct delivery. It ensures that orders can still be processed and shipped on the same business day. This keeps the stored delivery time realistic and reliable.

Put simply: The order cut-off determines whether an order enters your shipping process today or only on the next business day.

Understanding shipping routes

Shipping routes define the shipping conditions for your offers. This includes in particular the shipping route ID, shipping model, warehouse address, delivery time, notification, and activation for specific shipping methods. Authorized partner admin users can create, edit or deactivate shipping routes in the Partner Portal, depending on which features are enabled.

Simple shipping route configuration

The simple configuration is suitable if the same shipping conditions apply to all of your offers. In this case, you do not need a shipping route ID.

  • Warehouse address: The warehouse from which goods are shipped. You can only use warehouse addresses within the scope of the available or stored addresses. If the desired address cannot be selected, you can request an additional warehouse address in the Partner Portal via the help button.

  • Delivery time: The number of working days from order receipt to delivery. If you are authorized, you can adjust this in the Partner Portal depending on which options are enabled.

  • Notification: Defines whether customers are informed by phone or email prior to delivery.

  • Active: Defines whether your offers are active for deliveries to Galaxus warehouse locations and/or for direct delivery to end customers.

This option is particularly useful if your assortment is shipped uniformly from a single warehouse and you do not need different shipping rules.

Advanced shipping route configuration

The advanced configuration is required if there are differences between warehouses, assortments or shipping methods. In this case, you work with shipping route IDs.

Typical use cases

  • Multiple warehouses: If different warehouses have different delivery times, a separate shipping route is created for each warehouse.

  • Multiple shipping methods: If delivery times differ depending on the shipping method, or only part of the direct delivery assortment is delivered with prior notification, several shipping routes per warehouse may be necessary. To ensure that offers are assigned correctly, the appropriate shipping route ID must be transmitted in the DeliveryRouteIdfield of the product feed (-> https://confdg.atlassian.net/wiki/x/6x6k_Cc ).

Attention: If your product feed contains a shipping route ID that has not been configured in the portal, the affected offer is not active. If such offers exist, a warning is displayed:

This is an important signal that feed data and shipping configuration do not match.

When simple or advanced configuration makes sense

Situation

Recommended configuration

Why

Situation

Recommended configuration

Why

All offers have the same delivery time and the same shipping logic

Simple configuration without shipping route ID

Less maintenance effort and clear default logic

You ship from multiple warehouses with different lead times

Advanced configuration with shipping route ID

Offers must be assigned to the correct warehouse

Part of the assortment is treated differently, for example with notification

Advanced configuration with shipping route ID

Different rules can only be mapped cleanly this way

How to avoid common mistakes

  • Check whether the stored delivery time actually matches your operational process.

  • Use the simple configuration only if all offers are really treated the same.

  • Make sure that every DeliveryRouteIdused in the feed is configured correctly in the portal.

  • Keep in mind that changes only become effective after about one hour.

  • Check warning messages in the portal, especially for inactive offers.
