How does the Galaxus customs clearance solution (EU-Hub) work?

EU-Hub
The EU Hub is an uncomplicated all-inclusive solution for accessing the Swiss market. Through the fully integrated customs clearance solution, marketplace merchants from the EU can be connected to the Galaxus and digitec online shops.
Forward Process
After an order is placed by the customer on the online shops, the marketplace merchant organizes shipment to the EU Hub. Upon arrival at the EU Hub, the parcels are labeled with a Swiss Post shipping label by the logistics partner in Efringen-Kirchen and consolidated into postal containers. Collection takes place daily via consolidated transport. Swiss import customs clearance is carried out during transport, allowing the parcels to be handed over to Swiss Post immediately upon arrival at the central warehouse. Delivery to the customer generally takes place on the following business day.
Returns Process
Returns are sent to the returns warehouse see https://confdg.atlassian.net/wiki/x/Z4QfXyc. The shipments are subsequently labeled with a DHL shipping label and returned to the merchant twice per week.
Requirements for merchants
For integration with the EU Hub, the requirements defined under https://confdg.atlassian.net/wiki/x/BRLxeCc must be met.
Special Considerations for the Order Data Interface
When using the automated order data interface, a https://confdg.atlassian.net/wiki/x/tZeyRic including the corresponding tracking number must be transmitted for each parcel on the day of shipment. The notification must include all items contained in the respective parcel.
Partial Shipments (Two items shipped in two separate parcels)
In the case of partial shipments, a separate DELR must be transmitted for each parcel. Each DELR must include the corresponding SHIPMENT_ID and QUANTITY in accordance with the physical shipment.
Item Split (One item divided into multiple parcels)
Item splitting is not permitted. Each item must be shipped in full within a single parcel.
Parcel Labeling
In order for parcels to be processed at the EU Hub, the tracking number of the selected carrier must be scannable as a barcode on the parcel label. This is generally ensured when using major carriers such as DHL, DPD, or UPS. In addition, the PurchaseOrderId must be visible on the label as a reference number. This enables clear assignment of the shipment to the corresponding order, including in cases of discrepancies in order data processing.
Export trade invoice
As the goods are shipped across borders, an export commercial invoice is required for each shipment. For the use of the EU Hub customs clearance solution, submission of a digital export commercial invoice to the end customer is mandatory. It must be transmitted no later than the day of physical shipment.
Two submission options are available:
one invoice per order
one invoice per delivery/parcel
The options differ primarily in the PDF file naming convention and the invoice content.
Export trade invoice content
The export trade invoice for EU Hub merchants must include at least the following information:
Name and address of the issuer (must be located within the EU)
Customer billing address (Switzerland)
Order number (transmitted purchase order number from Galaxus)
Net invoice amount (excluding VAT) in EUR or CHF
Legal statement indicating that the invoice relates to a tax-exempt export supply, e.g. “Tax-exempt export supply”
Statement “Payment via digitec / galaxus” (see sample invoice)
